The clauses below explain our commitments and the responsibilities and choices relevant to this website. Select a clause in the contents list to jump directly to it.
Scope, identity and application
This Privacy Policy applies to the Olum4Africa website and the personal information handled in connection with visits to the website and enquiries submitted through its Contact page. Olum4Africa is an officially registered organisation operating this website. References to “Olum4Africa”, “we”, “our” or “us” identify that organisation.
For the activities described here, Olum4Africa determines why enquiry information is collected and how it is used. Questions and requests about personal information can be submitted through the Contact page. If you engage with a separate community programme or external partner, additional privacy information may apply to those activities.
This notice should be read alongside our Terms of Use and Cookie Policy. If the website introduces new data collection, payments, accounts or programme registrations, we will publish relevant information about those activities before collecting the additional data.
Applicable privacy framework
We seek to handle personal information in accordance with the Data Protection and Privacy Act, Cap. 97 of the Laws of Uganda, the Data Protection and Privacy Regulations, 2021 and other applicable requirements. These laws address lawful collection, transparency, data security and the rights of individuals whose data is processed.
Where a visitor is subject to additional mandatory protections under applicable law, those protections are not displaced by this notice. Nothing here is intended to waive a statutory right.
Categories of personal information
The information involved depends on how you interact with this website. We distinguish information you intentionally provide from technical records produced when the website is accessed.
Information provided through enquiries
Our contact form requests your full name, email address, enquiry category and message. It also records the affirmative privacy-consent field associated with submission. Any other personal information you place in the message is submitted voluntarily.
Please do not include passwords, banking information, medical diagnoses, national identification numbers, details about children or other sensitive personal information in an ordinary enquiry.
Technical and service information
Our website and its hosting infrastructure may process connection information such as IP address, browser and device characteristics, page requests, timestamps, approximate network location, error reports and security signals. This information supports delivery, maintenance and protection of the website.
The typefaces used on this website are currently requested from Google Fonts. Your browser may therefore establish a connection with Google when it loads the page. Please consult our Cookie Policy for further details about website technologies.
How information is obtained
We receive enquiry details when you complete and submit the Contact form. Technical data may be generated automatically when your device communicates with the hosting service. We do not provide public user accounts or a facility for uploading files through the enquiry form.
We do not use this website to collect payment-card details or process online donations. If that changes, the applicable privacy and payment terms will be made available before a transaction is accepted.
Purposes of processing
We handle information for specified purposes connected to the website and our communication with visitors. We do not treat an enquiry as permission to send unrelated advertising.
- Receive, review and respond to questions about the initiative, programmes, volunteering and partnerships.
- Communicate about an enquiry, including relevant follow-up requested by the person contacting us.
- Maintain records needed to understand correspondence, resolve concerns and support responsible administration.
- Deliver website pages, diagnose errors, prevent abuse and maintain technical security.
- Meet applicable legal obligations or respond to a lawful request from a competent authority.
Lawful processing and consent
When you submit a contact enquiry, we ask you to acknowledge this Policy and affirm that we may use the supplied details to respond. We limit that use to the described enquiry-related purposes, subject to other processing permitted or required by law.
Technical processing essential for delivering and protecting the website may take place independently of an enquiry. Where consent is required for a new purpose or an optional tracking technology, we will seek it before that processing begins. You may withdraw consent where applicable, without affecting processing already lawfully carried out.
Submitting an enquiry does not subscribe you to a marketing newsletter, authorise us to publish your message or permit unrelated uses of your data.
Data minimisation and accuracy
We aim to request only the information reasonably necessary for the specified purpose. Contact form fields are designed around a practical response to an enquiry rather than broad personal profiling.
You are encouraged to provide accurate contact details and to contact us if you need to correct information previously submitted. We may ask for information reasonably necessary to verify your identity before disclosing or changing personal records.
Children and safeguarding
Olum4Africa focuses on women, children and community wellbeing. That mission does not mean this website is a service for children to submit their own personal information. The contact form is intended for adults and authorised representatives.
We ask visitors not to submit identifying details, health information, school records or photographs of a child through the general form. Where a separate programme requires children’s information, appropriate notices, permissions and safeguarding arrangements must be established for that activity.
Personal stories or photographs depicting identifiable people are subject to rights, consent and safeguarding review. The presence of an image on the website must not be interpreted as an offer to disclose personal information about the person depicted.
Service providers and recipients
We use external technology providers to operate the website. Their involvement is limited to the services they provide and is subject to their applicable terms and privacy arrangements.
- Netlify: static website hosting, delivery, contact-form submission handling when enabled, spam filtering and related site management.
- Google Fonts: delivery of the website’s typefaces and processing of technical information associated with browser requests.
- Authorised people supporting Olum4Africa: access to enquiries where necessary to respond or to administer the website.
- Public authorities or other recipients: disclosure only where reasonably necessary to meet a legal requirement, protect rights or address a legitimate security incident.
Processing and transfers outside Uganda
External providers may operate infrastructure or personnel outside Uganda. As a result, some technical data or enquiry information may be accessed or processed outside Uganda when those services are used.
We recognise that cross-border processing is subject to safeguards and applicable Ugandan data-protection requirements. We will assess the location of relevant processing, the contractual protections available and any restrictions before expanding data collection or introducing additional providers.
We do not represent that information necessarily remains in Uganda or that every provider uses a particular data-centre location.
Security and confidentiality
We aim to protect information against accidental loss, misuse, unauthorised access, alteration and disclosure using safeguards appropriate to the information and the risks involved. The website uses HTTPS for encrypted connections and access to administrative services should be limited to authorised people.
No internet service can guarantee absolute security. If you believe an enquiry or communication has been compromised, please notify us through the Contact page with enough information to investigate, without including further sensitive details.
Where a security incident triggers notification requirements under applicable law, we will assess and respond to those obligations.
Retention and deletion
We retain enquiry information only for as long as it is reasonably necessary to respond, manage related follow-up, keep appropriate administrative records and comply with legal requirements. Records that are no longer needed should be reviewed for deletion.
The hosting provider may retain submission records, service logs, spam records and backups according to its service configuration and operational policies. Removing an enquiry from one system does not necessarily remove a copy from every backup immediately.
If you request deletion, we will assess the request against legal and practical retention requirements and explain any information we must retain.
Your rights regarding personal information
Subject to the Data Protection and Privacy Act and any applicable limitations, you may be entitled to seek access to personal information about you, correction of inaccurate details and deletion or cessation of certain processing. You may also be able to object to processing that causes or is likely to cause unwarranted substantial damage or distress.
Requests will be considered under the procedures and time limits prescribed by applicable law. We may need to verify identity and may withhold information where a legal exception applies, including the rights of another person.
- Ask whether personal information about you is held and request access where the law provides that right.
- Ask for correction of inaccurate or incomplete personal details.
- Request deletion where retention is no longer justified or where another applicable ground exists.
- Object to or request cessation of processing in circumstances recognised by law.
- Raise a concern about how a privacy request or data-security incident has been handled.
How to make a privacy request
Use the website’s Contact page and select “General enquiry”. Begin the message with “Privacy request” so it can be identified and directed appropriately. Describe the information or concern, the action requested and a practical way to respond.
Please do not upload identity documents or disclose additional sensitive data in the initial message. If further identity verification is necessary, we will explain a suitable method. We will acknowledge and assess the request as required by applicable law.
You may also seek information or pursue complaints through the Personal Data Protection Office of Uganda at https://pdpo.go.ug. A complaint to an appropriate authority does not depend on our approval.
Analytics, profiling and automated decisions
The current website does not operate user accounts, behavioural advertising profiles or automated decisions that determine a visitor’s entitlement to a service. The application does not intentionally deploy advertising pixels or a third-party behavioural analytics tracker.
Hosting security and anti-spam services may use automated systems to detect technical abuse or classify form submissions as spam. We will review any material change in how visitor information is used and update this notice when necessary.
Links to external websites
The website may link to organisations, resources and service providers outside Olum4Africa. Those websites control their own privacy practices. We encourage visitors to review their notices before providing personal information to them.
A link does not mean that Olum4Africa controls the external service or has approved every statement made there.
Changes to this Policy
We may revise this Policy when our operations, technologies, obligations or legal requirements change. The revision date and version shown above identify the current website text. Material changes to the purposes of processing will be communicated or handled through consent where applicable.
The version available on this page governs the information described in it from the date shown, subject to applicable law.
Contact and further information
Privacy enquiries, access requests and concerns about website data processing may be submitted at /contact. The Contact page is the current online route for initiating a request.
For the legal position on cookies and website use, consult the Cookie Policy and Terms of Use. This notice does not replace any additional privacy notice supplied for a distinct offline programme or a separately operated service.
